Data Privacy Policy: Effective February 2021

 

Cambridge Dive Development Centre (“CDDC”) and Cambridge Dive Team (“CDT”) of Parkside Pools, Cambridge, also referred to in this Privacy Statement as “the club” are committed to protecting and respecting the privacy of your personal data.

  1. SCOPE OF POLICY

This policy relates to the information the club collects and retains about its members , its mailing list subscribers ( if not members of the club)  and our online marketing and communication activities. It therefore also applies to our website (www.cambridgediving.org.uk), and any proprietary communications software which the club uses to support direct marketing communications by e-mail.

  1. CLUB POLICY

We understand that as members of the club’s Learn To Dive programme,  Cambridge Dive Team,  visitors to the club’s website or subscribers to its marketing communications database you trust us to treat your Personal Information with care and respect. This policy describes how we collect, process and use your information and the rights you have in relation to your information.

We may collect information from you about your preferences through;

  • the arrangements when you enter into an agreement with us for yourself or those for whom you have parental responsibility to have lessons within our “Learn to Dive” scheme
  • the arrangements when you or those for whom you have parental responsibility when they become members of CDT
  • the use of our website;
  • other routes such as when you request information or support from us in direct communication with the club coaching, administrative or management team.

We must have a lawful basis to process your personal data, and this policy explains what our lawful basis is in respect of each purpose for which we keep and use information about you.

We are allowed to process your personal data where;

  • it is necessary in connection with a contract between us (such as a contract to supply our products or services);
  • it is necessary in order for us to comply with our legal obligations or
  • where we have a legitimate interest to do so (but we will always consider whether your right to privacy overrides our interest).

By using any of our services, including our website, and by providing us with any personal information, you are consenting to the use of your personal information as set out in this policy. Please do not send us any personal information if you do not want that information to be used in this way.

The club is the data controller of any information provided to us including information provided via our website. Our contact details are set out at the end of this policy.

 

  1. INFORMATION THE CLUB COLLECTS

3.1 “Personal Information”

The club may ask for and collect from you personally identifiable and other information at certain points. Depending on the information and/or services you request, you may be asked to provide your name, email address and other  relevant “Personal Information” such as information about relevant disabilities or emergency medical requirements

If you sign up to our general mailing list you will be asked to confirm your wishes  through completion of a “double opt in” process in accordance with GDPR regulations If you do not complete this process you will not be sent further communications. If you do complete the sign up process you may still change your mind at any time by emailing us at info@evatecnet.com or by unsubscribing using the link at the bottom of our e mail marketing communications.

3.2. When you visit our Website

The club may collect Navigational Information from your visit using “Google Universal Analytics” ( See Footnote 1 at the bottom of this policy) . You are free to explore the general website without providing any Personal Information about yourself but we may ask you do so where you wish to gain access to specific “areas’.

3.3. “Navigational Information”

This refers to information about your computer and your visits to our website such as your IP address, location, referral source, pages viewed, etc.

3.3.1. Cookies

The club may use cookies (small, harmless text files) or similar technologies to personalize your online experience, analyse trends, track users’ movements around the website, and to gather further information about our users.

3.3.2 IP address

We may also collect technical information such as your IP address, operating system, the times that users accessed the site, etc. This information may influence our e-mails, and is therefore linked to your Personal Information.

3.3.3 Third party tracking

We do not have access or control over third party tracking technologies.

 

  1. HOW THE CLUB USES YOUR INFORMATION
  • Personal Information

The club is committed to protecting and respecting your privacy and will only use your Personal Information;

  • to provide its services to you;
  • to make arrangements for matters connected to diving activities such as Swim England / Institute of Swimming membership and competitions;
  • to manage our relationship with you;
  • to fulfill our legal obligations;
  • to process and respond to inquiries;
  • for other legitimate purposes such newspaper reporting( where you have given permission)
  • to provide you with relevant information including news, events and activities organized by the club ( marketing communications).

The club retains Personal Information that you provide  for as long as necessary to provide the services to you, to comply with its legal obligations, resolve disputes and enforce its agreements. Information is then deleted. You can also specifically ask the club to delete the information from its servers by contacting us

  • Navigational Information

The club may use Navigational Information to operate and improve its website, and to provide you with a personalized user experience.

EMAIL LIST

The club maintains a mailing list which is used to distribute information about matters relating to its activities . You can change your preferences for receiving emails and other information from the club at any time. You can unsubscribe at any time through an automated online service or, if this is not available, by the method referred to in the footer of sent messages.

HOW AND WHY The CLUB SHARES YOUR INFORMATION

Please note that the club may be required to share your information  with other relevant bodies including the  ASA East Region, Swim England[1], British Swimming, the Institute of Swimming or our Insurers to fulfill our obligations to provide our products or services

If you or those for whom you have parental responsibility enter a competition then personal data may be shared with other clubs as part of the entry to that competition. Your/their name, and association with the club is likely to appear on information connected with the event including online scoring information such as DiveRecorder[2] with open access to all.  Where you do not accept such information to be available on DiveRecorder this will limit your ability to participate in competitive events

As regards to other third parties the club will only disclose your information where you have given your consent  ( e.g newspaper reporting) ,where it is required to do so by law, or where it is necessary for the purpose of, or in connection with legal proceedings or in order to exercise or defend legal rights.

CONFIDENTIALITY

The club acknowledges that the information you provide may be confidential. It does not sell, rent, distribute or otherwise make Personal Information commercially available to any party. It will maintain the confidentiality of and protect your information in accordance with this policy and all applicable laws. It will only share your personal data in circumstances as set out in this policy.

HOW THE CLUB PROTECTS INFORMATION

The club use a variety of security technologies and procedures to help protect your Personal Information from unauthorized access, use or disclosure.

The club secures the Personal Information you provide through our website on computer servers in a controlled, secure environment, protected from unauthorized access, use or disclosure. We work to protect the security of your information during transmission by using features such as Secure Sockets Layer (SSL) software, which encrypts information you input.

The club has implemented reasonable administrative, technical and physical measures to protect  personal information you provide through other routes  to protect against its loss, misuse and alteration.

YOUR RIGHTS

You have the right to apply for a copy of the information the club holds about you so that you may:

  • Review the user information that you have supplied to us
  • Request that we correct any errors, outdated information, or omissions
  • Request that we do not contact you using the information you have provided
  • Request that your user information be removed from any of our solicitation lists
  • Request that your user information be deleted from our records
  • Opt out of being solicited with any marketing communications

This is called a data subject access request and you can make such a request by writing to us using the contact details below. The club may require further information from you in order to verify your identity before disclosing any personal information to you. Once we are satisfied as to your identity we will reply within 28 days.

You also have the right to have any inaccurate information about you corrected. We want to make sure that any Personal  Information we hold is accurate and up to date. You may ask us to correct or remove any information that you think is no longer up to date. Please contact us using the contact details below if you would like any corrections made to your information.

TRANSFERING INFORMATION

If in the future the club re-organises or transfer all or part of its operations it may need to transfer your information to new club entities or to third parties through which the business of the club will be carried out.

 

CHANGES TO THIS POLICY

From time to time, the club may update this policy. Changes  are effective as of the “effective date” in this policy  and indicate the last time this policy was revised or materially changed.  Your continued use of our services indicates your consent to the latest policy.
